Privacy Policy

1. Information we collect

• Account details you provide: full name, email address, matriculation number, department, level, optional title and optional WhatsApp number.
• Academic activity: courses and topics you open, materials you view or download, and announcements you have read.
• Study tool activity: questions you ask, practice attempts, scores and flashcard ratings, stored so you can revisit your own history.
• Credit and payment records: purchases, credit balance and the actions credits were spent on. Card details are handled by our payment partner and never stored by Stanai Learn.
• Technical information needed to run the service, such as sign-in timestamps and error reports.

2. Platform activity tracking

Activity is recorded to keep the platform working and to show departments how their resources are being used. Departmental and platform analytics are reported in aggregate: totals such as active users, most accessed resources and department activity.

Your individual study records — the questions you ask, your practice scores and your flashcard ratings — are private to your account and are not shown to lecturers, executives or other students.

3. Data confidentiality and departmental access

Access is scoped by department and level and enforced in the database, not just in the interface.

Departmental representatives can see the roster of members they are responsible for, including name, email, level and approval status, so they can approve accounts and manage materials. They cannot see accounts from another department, and level representatives can only see their own level.

No department can access another department's students, materials or analytics.

4. Local device storage and offline access

Stanai Learn stores a small amount of data on your device: your sign-in session, your theme preference, and cached files so pages load quickly and use less data.

Materials you download are saved by your own device and remain there until you remove them. Anyone with access to your device may be able to open those files, so protect your device with a screen lock.

Clearing your browser storage signs you out and removes cached content.

5. Data protection

Data is stored with an established cloud database provider and transmitted over encrypted connections. Files are kept in private storage and served through short-lived signed links rather than public URLs.

Access rules are enforced at the database level, so restricted content cannot be reached by guessing a direct link.

Privileged operations run only on our server, never in your browser.

6. Data sharing

Stanai Learn does not sell your personal information and does not share it for advertising.

Information is shared only with the service providers needed to run the platform — hosting and database, payment processing, email delivery, push notification delivery and the providers powering study tools — and only to the extent needed to deliver the feature you used.

Information may also be disclosed where required by law.

7. Notifications

Push notifications are optional and off until you enable them. When enabled, your browser gives us a delivery address for your device, which we store so we can send approval alerts, announcements and new-material alerts. You can turn notifications off at any time from your profile settings or your browser settings.

8. Account deletion and data controls

You can update your personal details at any time from your profile settings.

You can permanently delete your account from your profile settings. Deleting your account removes your profile, study history, questions, practice attempts and notification settings. Materials uploaded on behalf of a department remain with the department, and payment records are retained where required for accounting purposes.

9. Changes to this policy

This policy may be updated as the platform develops. Material changes will be announced within the app.
